Summary:

Reporting to the Chair of the Thunderbird Trust, the General Manager will adhere to the Trust Agreement and the Trustees direction. This role involves providing communications, project management and overall administrative support to the Thunderbird Trust and members.

 

Administration:

  • Partner with Trustees to plan and implement programs/services in alignment with the Trust Agreement and strategic priorities
  • Coordinate governance calendars including but not limited to: Trust/Trustee meetings, elections, and community meetings; prepare agendas, materials, and minutes/decision summaries and track follow-ups
  • Lead reporting & communications by preparing updates/presentations for on/off-reserve members via newsletters, Nation channels, and approved websites.
  • Prepare and distribute investment reports and communicate investment policy decisions to investment advisors and relevant stakeholders
  • Liaise with professional advisors (custodian, auditors, legal counsel), First Nation Council, and community members to support sound governance
  • Maintain organized records and filing systems (current/archives) and keep the member database accurate and secure
  • Oversee core administration phones/email, appointment scheduling, correspondence, and office supplies
  • Manage financial administration including invoicing, occasional banking, organizing receipts/payables for the bookkeeper and supporting a clean annual audit.
  • Develop and manage the annual operating budget with attention to monitoring variances and recommending adjustments
  • Ensure compliance with the Trust Agreement and monitor and support Trustees’ ongoing responsibilities
  • Coordinate investment policy decisions and advisor engagement ensuring timely execution and documentation
  • Review project proposals and final reports by preparing concise summaries/recommendations for Trustees and/or Band Council
  • Develop, review, and implement policies and programs to improve operations and community impact
  • Coordinate project review meetings, track milestones, risks, and outcomes.
  • Monitor and report that disbursed funds are used in accordance with approved Trust guidelines

Qualifications:

  • Progressive administration or project support experience in a board/trust or community-focused setting with the ability to coordinate meetings/elections, prepare minutes, and maintain organized records
  • Experience supporting accounting functions with preference to candidates with previous experience preparing managing annual budgets and coordinating audits with the custodian/bookkeeper/auditors
  • Knowledge of Trust Agreements with knowledge of Trustee decision process and investment policies
  • Ability to prepare and distribute investment reports and ability to produce clear updates/presentations for community members on/off reserve.
  • Proven ability to liaise with professional advisors, auditors, legal counsel, First Nation Council, and community members
  • Administrative proficiency in scheduling, correspondence, member database upkeep, invoicing/basic banking, organizing payables, and office supply management
